1. Information We Collect

To audit applications and perform administrative assistance on your behalf, we may collect:

  • Identity Information: Full legal name, maiden name, date of birth, TRN, and copies of government-issued identification (Passports, Driver's Licences).
  • Contact Information: Phone numbers (including WhatsApp messaging records), email addresses, and physical delivery addresses.
  • Documentary Records: Vital record certificate copies (Birth, Marriage, Death), motor vehicle registration data, fitness details, or official application forms.
  • Billing Information: Payment receipts, bank transfer confirmations, and transaction records.
  • Mailing List Information: Your email address, and your first name if you give it, when you ask for a free kit or guide or subscribe to our updates on this website. We also record the date and the page you signed up on.

2. Purpose of Processing

Client information is processed exclusively for executing the specific administrative service you have requested. We do not sell, trade, or share your data with external marketing bodies. Data is used to:

  • Pre-audit forms to prevent agency rejection due to name or data mismatches.
  • Submit applications on official government portals (e.g., PICA, TAJ, RGD, JCF).
  • Provide direct case status updates via WhatsApp, email, or telephone.
  • Coordinate secure doorstep courier delivery for finalized certificates.
  • Process invoices and maintain records for legal and tax compliance.

Free Kits, Guides & Email Updates: If you ask for a free kit or guide, or subscribe to our updates, we use your email address to send what you asked for and occasional updates about Jamaican document requirements and our services. We send these only because you signed up, and every email tells you how to stop them.

3. Data Retention & WhatsApp Intake Policy

Because we process high-sensitivity personal identification documentation via digital channels like WhatsApp and email, we enforce strict retention boundaries:

  • Digital Records & Scans: All client-submitted materials are retained strictly for the duration necessary to complete the requested administrative service. All physical and digital copies of sensitive supporting documents are permanently deleted and purged from our systems within 30 days of service fulfillment.
  • Physical Papers: Original documents provided for local processing are either submitted directly to the relevant agency or returned to you via tracked courier. We do not retain physical original documents indefinitely.
  • Mailing List: Your email address stays on our mailing list until you ask us to remove it. Reply STOP to any of our emails, or contact us, and we delete your details from the list. The 30-day rule above applies to client documents, not to the mailing list.
  • Security & Auditing: We employ organizational and electronic security measures to protect your data. Record-keeping logs of data destruction (metadata only) are maintained for internal compliance audits.

4. Third-Party Disclosures

We only share data with trusted third parties as strictly necessary to fulfill our business contract with you. Information is disclosed strictly to:

  • The specific Jamaican government agency handling your document request (PICA, TAJ, RGD, JCF).
  • Authorized courier operators (e.g., DHL, Zip Mail) solely for address dispatch fulfillment.
  • Banking institutions necessary for processing official payments.
  • The technology providers we use to run the business: Google (email, online forms and file storage, including our mailing list) and WhatsApp (messaging). Your messages, files and mailing list details pass through or are stored with these providers under their own terms and privacy policies, and may be held on servers outside Jamaica.

5. Your Data Protection Rights

Under the Jamaica Data Protection Act, you have the right to:

  • Request access to the personal data we hold about you.
  • Request corrections to inaccurate or incomplete records.
  • Request the immediate purging or deletion of your digital files upon service completion (subject to legal or tax retention obligations).
  • Withdraw your consent for data processing at any time.
  • Stop our emails at any time by replying STOP to any email we send you.
